WITH REGARD TO TECHNICAL DOCUMENTATION

I’ve seen it time and again. One of the most common
weaknesses that I’ve seen in engineering companies -
indeed, an almost universal fault - is the lack of proper
technical documentation. Some would laugh this off as a
minor detail; however, the repercussions are often severe.
A company’s entire future can be made or lost based on the
amount of attention they pay to this issue.

Over the years, I’ve identified five problems that I’ve
found to be particularly common when it comes to writing
technical documentation. I’d like to share these thoughts
with you, in the hope of preventing others from falling
down the same paths.

1. Not having any user manuals

Don’t laugh. This may seem like a fairly basic mistake -
absurd, even - but it is surprisingly common. I’ve
encountered many companies that don’t provide user manuals
for their products, or whose manuals are skeletally thin or
years out of date. In fact, I’d estimate that about half of
the small engineering companies that I’ve encountered fall
into this category. (Of course, one seldom encounters this
problem when buying off-the-shelf software or consumer
electronics. Amongst engineers though, it’s a depressingly
familiar story.)

WHY EVERY FREELANCER SHOULD HAVE A WEBSITE

"Do I send samples, a media kit, or just the query,
postcard and/or sales letter?" As a freelancer, when you
are trying to reach new clients or stay in touch with old
ones, how to approach the contact can be a sticky,
confusing, discombobulating journey. Having a website can
solve all of these situations. How?

Outlined below are four ways a website can contribute to
the bottom line success of your business.

1. Save Postage: When prospecting for new clients, instead
of sending an entire media kit, numerous clippings, and/or
writing samples, simply direct your target to your website.

A simple postcard can list the services you offer and/or
products you sell. For samples of your work direct
prospects to your website, which can do a better job of
selling. A website can list client testimonials, special
deals and discounts, awards - the possibilities are
endless.

In essence, you are selling a potential client on your
business for just the cost of a postcard. Of course, you
can always send a sales letter instead of a postcard. The
point is, you don't have to spend a lot of money on postage
up front.

Procrastinating

When you've finally decided you have to put into writing
the fabulous idea that just struck, you enter the first
phase of the writing process. "I'll start tomorrow," "I'm
not inspired yet" and "I just don't have the time" are some
of the phrases that will form a part of your vocabulary.
When you've incorporated them into your daily lifestyle,
you're ready to enter the second phase.

The Blank Screen

You sit in front of your computer, usually without a clue
to what you're supposed to be doing. You stare at the blank
screen constantly without blinking. You may take short
coffee breaks or a walk, but you still make it back to
where you started. Type a few lines of crap, then erase.
Repeat this process a number of times, and proceed.
